In-person Registration: What's Included

Conditions for ICOM Institutional Members Registration
- Institutional Members can register up to three (3) representatives by purchasing the ICOM Member Full Ticket – In-person participation.
- The cost for two (2) or three (3) representatives will be two (2) or three (3) times the Individual Member ticket price.

- ICOM Institutional Members may register up to three representatives using the ICOM Institutional Member registration form, at the preferential rate for ICOM members.
People of Determination (People with disabilities) Discount
- People of Determination (People with disabilities) (PoD) refers to individuals with diverse disabilities, including mobility, sensory, and intellectual impairments. Please refer to our section on Accessibility at ICOM Dubai 2025 website for further information. POD’s will receive 50% discount to encourage their participation and ensure affordability. This is applied across all ticket tiers, including workshops, lectures, and networking events.
- Individuals must present their PoD / Disability identification card issued by their respective country or a government-recognized disability authority, or provide proof of membership in a recognized disability organization upon entering the event. Payment Method
- Online payment: The participant may choose to pay online with all major credit cards (including Visa and Mastercard only). An invoice in English will be generated automatically by the Registration Platform and sent by email to the billing address indicated on the form. Any bank charges relating to the payment shall be borne by the participant who shall be informed about this specificity by the PCO.
- On-site payment: A participant shall be able to register for the General Conference on site and shall have to pay the fees directly on the spot either by credit card or cash. The Organising Committee and the PCO will have to inform on the Registration Platform which currency/ies will be accepted on site.
Cancellation Policy
- If registration is cancelled by 31 August 2025 (23:59, UAE time), ticket holders may obtain a full refund of the registration fee with a deduction of AED two hundred (200) for administration costs.
- If registration is cancelled between 1 September 2025 to 30 September 2025 (23:59, UAE time), ticket holders may obtain a 50% refund of the registration fee.
- If registration is cancelled on or after 1 October 2025, no refund of the registration fee shall be accepted, except for refunds requested on the basis of elements of the invitation letter and/or the requested support for obtaining a visa which were not provided in due time by the Organising Committee. In such cases, ticket holders will be entitled to a full refund of the registration fee less AED two hundred (200) for administration and visa costs.For visas applied through the PCO, in the event of rejection, the cost of the visa shall be deducted from the refund.
Exchange “in-person to digital” conditions
- If the exchange request is received no later than 31st August 2025
(23:59, Dubai time), ticket holders may obtain a full refund of the difference between in-person registration fee and digital registration fee, with a deduction of AED 200 (EUR50) for administration costs. - If the exchange request is received on or after 1 September 2025 (23:59, UAE time), no refund shall be accepted and option of access to the digital content of the General Conference Platform during the 27th ICOM General Conference shall be provided.
Exchange “digital to in-person” conditions
- Until 30 September 2025 (23:59, UAE time), regardless the type of registration, participants may switch their tickets from digital to in-person participation by paying the difference of the Fee
- After 30 September 2025 (23:59, UAE time), switching from digital to in-person participation will not be possible. However, participants may submit a written request to the PCO, which will review it on a case-by-case basis, subject to availability and feasibility.
Refunds
- Refunds, if applicable, will be processed within 30 days following the end of the 27th ICOM General Conference Refunds will be issued through bank transfer mode as opposed to the original transaction.
- The PCO retains the exclusive right to make final decisions regarding modification, and cancellation requests.
- The PCO may consider exceptional circumstances on a case-by-case basis.
Cancellation or rescheduling of the 27th ICOM General Conference by the Organisers
- In the event that the 27th ICOM General Conference is cancelled by the Organisers for reasons other than force majeure. Registered participants will be eligible for a partial refund of their registration fees, with a deduction for administrative and organisational costs already incurred. The exact refund amount will be determined based on the financial commitments made by the Organisers up to the cancellation date.
- If the event is cancelled due to force majeure or circumstances beyond the Organisers’ control (including but not limited to natural disasters, pandemics, political instability, or governmental restrictions), the Organisers will determine the refund conditions at their sole discretion, considering financial commitments already made for the event. In such cases, the Organisers reserves the right to offer alternative solutions, such as rescheduling the event, converting in-person registrations to digital participation, or issuing partial refunds where possible.
- If the 27th ICOM General Conference is rescheduled, all existing registrations will remain valid for the new dates. Participants unable to attend the rescheduled 27th ICOM General Conference may request a refund under conditions to be determined by the Organisers, taking into account financial commitments already incurred. The Organisers will communicate the new dates and refund options to all participants as soon as reasonably possible.
